Sasatrip

These Terms and Conditions govern the relationship between the client (hereafter referred to as “the Client”) and SASATRIP (hereafter referred to as “the Company”), a tour operator based in Tanzania, specializing in wildlife safaris, Mount Kilimanjaro expeditions, and beach holidays across Africa.

By booking a tour with the Company, the Client agrees to be bound by these Terms and Conditions. Please read them carefully.

1.  Booking and Payment Terms

1.1  Booking Confirmation

A booking is considered confirmed when a deposit of 30% of the total tour cost is received. The remaining balance must be paid no later than 30 days prior to the tour start date.

1.2  Payment Methods

Payments can be made via bank transfer, credit card, or other methods specified by the Company. All transfer fees and currency exchange charges are the responsibility of the Client. Payments are non-refundable unless stated otherwise in the cancellation policy. The Client will be responsible for any additional fees arising from unforeseen changes in government fees.

1.3  Late Bookings

Bookings made less than 30 days before the tour start date require full payment at the time of booking.

2.  Cancellations and Refunds

2.1  Cancellation by the Client

Cancellations must be made in writing. The following charges apply:

  • Deposit payment is non-refundable
  • 60+ days before departure: 10% cancellation fee
  • 30–59 days before departure: 30% cancellation fee
  • 15–29 days before departure: 70% cancellation fee
  • Less than 15 days before departure: 100% cancellation fee

2.2  Cancellation by the Company

The Company reserves the right to cancel a tour due to unforeseen circumstances, including but not limited to natural disasters, political unrest, or insufficient participant numbers. In such cases, the Client will receive a full refund or offer a credit for future use. The Company is not responsible for any costs incurred by the Client due to cancellation.

Refunds for changes or cancellations due to third-party providers (e.g., airlines, hotels) are governed by their policies.

3.  Travel Insurance (Mandatory)

The Company does not provide any travel insurance. It is mandatory for all Clients to have comprehensive travel insurance that covers (at a minimum):

  • Medical and health emergencies
  • Evacuation and repatriation
  • Trip cancellation and interruption
  • Loss or theft of personal belongings
  • Adventure activities (including trekking and safari)

The Client is required to provide proof of insurance before the tour begins. Participation may be denied without valid insurance, with no refund provided.

4.  Medical Conditions and Health Requirements

The Client is responsible for ensuring they are medically fit to undertake the tour, especially for physically demanding activities such as Kilimanjaro climbs. Pre-existing medical conditions must be disclosed at the time of booking. The Company reserves the right to decline participation based on medical grounds. The Client acknowledges that they are responsible for any and all medical expenses during the trip.

5.  Travel Documents and Entry Requirements

It is the Client’s responsibility to ensure they have valid passports, visas, vaccinations, and any other entry or health requirements as stipulated by each country visited on the itinerary. The Company accepts no responsibility for delays or missed portions of the tour due to improper documentation.

6.  Changes to Itineraries

6.1  Changes by the Company

The Company reserves the right to make reasonable changes to the itinerary for operational reasons, safety concerns, or local conditions. The Company will inform the Client as soon as possible and endeavor to provide an equivalent alternative.

6.2  Changes by the Client

Requests for changes to an itinerary after booking are subject to availability and may incur additional costs.

7.  Liability and Responsibility

  • The Company acts as an agent for hotels, airlines, vehicle hire companies, and other third-party While the Company takes reasonable steps to ensure the provision of high-quality services, it is not liable for any loss, damage, injury, or delay caused by the actions or omissions of these third parties.
  • The Client participates in tours at their own The Company is not liable for any injury, illness, death, damage to property, or financial loss arising from participation in any tour activity.
  • In no event shall the Company’s liability exceed the amount paid by the Client for the specific tour.
  • The Company is not liable for injuries or accidents occurring during optional activities not directly managed by them.

8.  Force Majeure

The Company is not liable for failure to perform or delay in performing any of its obligations under these Terms due to acts of God, war, terrorism, strikes, civil unrest, pandemics, or any other events beyond its reasonable control.

9.  Complaints and Disputes

Complaints must be made to the tour leader or Company representative as soon as possible to allow for immediate resolution. If not resolved on-site, complaints must be submitted in writing within 14 days of the end of the tour.

Disputes shall be governed by the laws of Tanzania and submitted to the exclusive jurisdiction of the Tanzanian courts.

10.   Responsible Tourism and Conservation Policy

At SASATRIP, we are deeply committed to sustainable tourism, eco-conscious practices, and wildlife conservation. By joining one of our tours, the Client agrees to:

  • Respect local cultures, traditions, and
  • Avoid littering and reduce plastic waste—refillable water bottles are
  • Refrain from disturbing wildlife and adhere strictly to park rules and guide
  • Support local businesses and fair employment
  • Follow “Leave No Trace” principles on treks and nature
  • Avoid purchasing wildlife products, illegal souvenirs, or participating in unethical animal encounters.

We work with certified eco-lodges, ethical tour partners, and community-based organizations to ensure our impact is positive, both environmentally and socially.

11.  Photography and Marketing

The Company may take photographs and video footage during tours for promotional purposes. By participating in a tour, the Client grants permission to use such material for marketing unless the Client expressly requests otherwise in writing.

12.   Acceptance of Terms

By confirming a booking with the Company, the Client confirms that they have read, understood, and agreed to these Terms and Conditions.
